Terms and Conditions

These Terms & Conditions set out the agreement between you (“the Participant”) and STEMSKI (“we”, “us” or “our”), regarding your participation in any STEMSKI event or trip. By making a booking or engaging with STEMSKI in any capacity, you agree to be bound by the terms outlined below.

Please read these carefully before making a booking.


1. The Nature of STEMSKI

STEMSKI is an initiative that organises skiing and snowboarding trips aimed at creating informal networking and social opportunities for people working in Science, Technology, Engineering and Maths (STEM) sectors.

STEMSKI is not a tour operator or travel agent. Trips are community-driven, and participants book accommodation, travel, and extras directly through third-party providers or in collaboration with STEMSKI’s recommended partners.


2. Booking Process

All bookings for STEMSKI trips are subject to availability and acceptance by us. Bookings will only be confirmed once:

  • You have submitted a complete registration form
  • The required deposit or full payment has been received
  • You have accepted these Terms & Conditions

You are responsible for ensuring the accuracy of the information provided during booking.


3. Payments

Payment terms (deposit amounts, deadlines, and balance payments) will be clearly stated during the booking process. Failure to pay on time may result in your booking being cancelled.

All payments are typically non-refundable unless otherwise stated. Please refer to the section on Cancellations below.

STEMSKI does not store or process card details directly. Payments are handled securely by third-party platforms.


4. Cancellations & Refunds

a) Participant Cancellation

If you wish to cancel your place:

  • Please notify us in writing as soon as possible
  • Deposits are non-refundable
  • Refunds (if any) depend on the timing of cancellation and the policies of any third-party providers (e.g. accommodation or lift pass partners)

We strongly recommend purchasing comprehensive travel insurance that includes cover for cancellation due to illness, injury, or other unexpected events.

b) Event Cancellation

If STEMSKI must cancel the event due to unforeseen circumstances (e.g. force majeure, insufficient sign-ups, or partner withdrawal), we will aim to provide:

  • As much notice as possible
  • A full or partial refund, depending on the stage of planning and any non-recoverable costs

However, we are not liable for any personal arrangements you may have made, including travel, accommodation, or equipment hire, that cannot be refunded.


5. Travel & Insurance

Participants are responsible for arranging:

  • Transport to and from the resort
  • Travel insurance (required)
  • Equipment hire and lift passes (unless otherwise arranged with our partners)

Insurance is mandatory. It must cover winter sports and include medical cover, cancellation, and personal liability.


6. Conduct & Behaviour

Participants are expected to:

  • Act responsibly and respectfully towards others
  • Follow all local laws and regulations
  • Adhere to the rules and safety guidelines provided by accommodation, mountain staff, or instructors

STEMSKI reserves the right to remove any individual from the event or associated groups (e.g. social media or accommodation) if their behaviour is deemed unsafe, inappropriate, or detrimental to the experience of others. No refunds will be given in such cases.


7. Liability

While STEMSKI takes reasonable care to facilitate an enjoyable and safe trip:

  • Participation is entirely at your own risk
  • We are not responsible for injury, loss, theft, or damage incurred during the trip
  • Any issues with third-party services (e.g. hotels, transport, or ski passes) must be resolved with those providers directly

You are responsible for your own belongings, travel documents, and personal safety at all times.


8. Use of Images & Media

During the trip, photos and videos may be taken by STEMSKI organisers or participants. By attending the trip, you consent to your image being used for marketing and promotional purposes (e.g. website, social media, future trip materials).

If you prefer not to be included, please notify us in writing prior to the event.


9. Data Protection

STEMSKI handles personal data in accordance with our Privacy Policy and relevant UK GDPR regulations.

Your information will only be used to manage your booking and keep you updated about the trip and future events (if you’ve opted in). We do not share your data with third parties for marketing.


10. Changes to the Terms

STEMSKI may update these Terms & Conditions from time to time. The most recent version will always be available on our website. Your continued engagement with STEMSKI signifies acceptance of any changes.
